How to reconcile cash and card sales at food truck events

Close each event day by matching three places: the cash drawer (starting cash vs counted close), the POS sales/payment-method totals for that window, and the processor payout or settlement report that eventually hits your bank. Square documents cash-drawer sessions with starting cash, cash sales, cash refunds, and expected cash; Stripe documents payout reconciliation so you can see which charges, refunds, and fees sit inside each bank deposit.

Operator checklist

  • Start a cash drawer session with a recorded starting cash amount before you open the window (Square cash drawer sessions track starting cash, cash sales, cash refunds, paid in/out, and expected cash).
  • Ring every sale through the POS, including cash, so the sales summary and payment-method reports have a complete baseline.
  • At close, count the drawer and record the actual cash when you end/close the session; compare that count to the expected cash the POS calculated.
  • Pull the POS sales summary and payment-methods report for the same event window. Square's sales summary includes closed sales, tips, and fees; payment methods break totals by tender type.
  • Compare card totals to the processor side carefully: Square's reconciliation report explains how bank transfers are derived from payments collected after fees and other adjustments; Stripe's payout reconciliation lists the charges, refunds, and fees inside each automatic payout.
  • If you took offline card payments, reconnect and upload them before you treat the day as final - Square stores offline payments on-device and processes them after reconnect (upload within 24 hours recommended; pending offline payments expire after 72 hours). Offline payments cannot be refunded until they have uploaded.
  • Match bank deposits to payout batches on a schedule. Automatic Stripe payouts can include funds from multiple transactions across days; Square notes that aligning transfer schedule and reporting day makes tracking simpler.
